An employer is obligated to report the employee to the Social Security (ZUS) within 7 days from the date of commencement of work.
Every employee hired under a contract of employment is subject to mandatory:
- Pension insurance - means that an amount is deducted from the employee's salary each month for the benefit of a future pension. The amount deducted affects the amount of benefit granted to the employee
- Disability insurance - gives the employee the right to a disability insurance in the event of partial or total loss of the ability to perform gainful employment
- Sickness insurance - guarantees the right to sick pay, sickness benefit or rehabilitation benefit in the event of an employee being on medical leave
- Accident insurance - guarantees the obtainment of sickness benefits in the event that an employee has an accident at work or on the way to or from work
- Health insurance - guarantees the right to use free health care financed by the National Health Fund (NFZ)
Contributions for these insurances are deducted from the salary and paid to Social Security (ZUS) by the employer. In the event of termination of employment or expiration of the contract, the employer is obliged to deregister the employee from insurance.
Exceeding the annual basis for calculating Social Security (ZUS) contributions
The annual basis for calculating contributions for pension and disability insurance cannot exceed thirty times the forecasted average monthly salary in the national economy for a given calendar year. When determining whether the annual amount of the contribution basis has been exceeded, the contribution basis from all types of insurance (including employment contracts and contracts of mandate) is taken into account. The limitation of the annual basis for calculating contributions for pension and disability insurance applies to both persons subject to mandatory and voluntary insurance. Exceeding the annual basis for calculating contributions for pension and disability insurance results in the cessation of calculating and transferring contributions to Social Security (ZUS) for pension and disability insurance.
When an insured person is employed in several workplaces, they are obliged to inform all payers of contributions that the annual basis for calculating contributions for pension and disability insurance has been reached.
We inform you that it is possible to check the correctness of the data recorded in the Social Security (ZUS) account by registering on the portal www.pue.zus.pl (in Polish).
Registration of family members
Both an employee and commissioned party has the right to register their family who do not have their own insurance for health insurance.
The family member – for health insurance – is:
- Own children, spouse's children, adopted children, grandchildren or other children for whom care has been established, or other children within a foster family or a family children's home (up to 18 years of age, up to 26 years in the case of education, no age limit for disabled children)
- Spouse
- Ascendants (e.g. parents, grandparents) who live in a common household.
The registration of a family member for health insurance is made on the basis of a declaration submitted by the employee (the form can be downloaded below).
The family member will lose this status if they have a different title to health insurance, e.g. they are employed as an employee or contractor, start a business activity, register as unemployed. The employee must notify the university of such a situation within 7 days to deregister them from the insurance as a member of their family.
The employee may re-register a family member for health insurance if they lose their own title to health insurance.

Commissioned party
Contract of mandate:
Persons working under a contract of mandate are subject to mandatory pension, disability and accident insurance from the date specified in the contract as the date of commencement of its performance until the date of termination or expiration of the contract.
Sickness insurance is voluntary.
In the case when an employee is employed under an employment contract with several employers, Social Security (ZUS) contributions are paid by each employer separately. A contract of mandate with a second employer will also be subject to social insurance, unless the first contract achieves the minimum wage.
Contract for specific work:
Contract of specific work is not subject to social or health insurance, unless the contract was concluded with one's own employer - then it is treated as an employment contract.
PhD Students
PhD students who started their PhD studies in the academic year 2019/2020 at the earliest and receive a PhD scholarship are subject to mandatory insurance: pension, disability and accident insurance. Sickness insurance is voluntary and is provided at the PhD student's request.
PhD students are also subject to health insurance if they have no other title to this insurance (e.g. employment contract, registration for health insurance as a family member, running their own business). The contribution to this insurance is paid by the payer - the entity running the PhD school, i.e. Maria Curie-Skłodowska University, and financed by the state budget.
Students
Students are entitled to free National Health Fund (NFZ) health benefits if they meet one of the following conditions:
- they have their own insurance title (e.g. employment contract, pension)
- they are registered for insurance as a family member
- they are registered for insurance by the university.
If a student signs an employment contract or starts running a business, they will have their own title to health insurance. In such a situation, they will be insured as an employee or a person running a business (their family or university will not be able to register them for health insurance). The employer will register them for health insurance, and if they start running a business, they must register for this insurance themselves.
A student who is under 26 years old can be registered for health insurance as a family member. They can be registered for this insurance by a parent or another authorized person, e.g. their spouse. Registering a family member for health insurance does not involve the obligation to pay a higher health insurance.
A student who has a certificate of significant disability (or other equally treated) can be registered for health insurance as a family member, even if they turn 26.
If a parent or other authorized person cannot register the student for health insurance (e.g. because they do not work and are not insured), the university will do it. The student must inform the university by reporting to the UMCS Students’ Affair Office.
The right to health care benefits expires after 4 months from graduation or removal from the list of students.
Students under the age of 26 who work on the basis of a contract for services are not subject to social insurance or health insurance.
Student status, which allows for exemption from paying contributions, is granted from the day of admission to university (i.e. matriculation) until the day of taking the diploma exam or removal from the list of students, when, for example, the student resigns from studies.
In the case of concluding an employment contract with a student, it is mandatory to pay social insurance contributions (i.e. pension, disability, sickness and accident) and health insurance.
Voluntary Organisation
The Act on Public Benefit Activities and Volunteering allows for the provision of voluntary health insurance to a volunteer if he or she is not covered by health insurance on other basis.
